Executive Assistant Job Description

Job Description

The Sales & Recruiting Coordinator is a fast-paced, high-impact role designed for a self-directed problem solver who excels at connecting the dots. We operate with a strong sense of urgency, and we are looking for an independent thinker who can seamlessly piece together fragmented moving parts—from applicant tracking systems to consultant equipment logistics—and ensure nothing falls through the cracks. This position offers significant ownership and room for professional growth; the ideal candidate won’t just maintain our current workflow, but will actively help evolve and scale the role as the company grows.

Responsibilities:

  • Logistics & Equipment Ownership:
    • Coordinate the end-to-end consultant equipment lifecycle, independently managing delivery communication (tracking, receipt confirmation) and return logistics.
    • Anticipate and resolve logistical bottlenecks with a strong sense of urgency to ensure consultants have what they need on Day 1.
  • Talent Acquisition & System Support:
    • Efficiently format candidate resumes (converting PDF to Word, applying company branding/logos, and condensing content for maximum impact).
    • Take the initiative to manage shifting interview availability, aligning schedules swiftly across multiple parties.
    • Master and navigate client VMS systems to submit candidates accurately and efficiently.
  • Consultant Engagement & Problem Solving:
    • Own the start date coordination process, driving communication forward to ensure seamless onboarding.
    • Conduct routine, proactive check-ins with consultants to maintain engagement and surface potential issues early.
    • Actively troubleshoot and resolve timesheet and billing discrepancies for both clients and consultants.
  • Data, Consultant Experience & Process Growth:
    • Pull and analyze operational reports from Tracker/ATS, putting the pieces together to give leadership clear visibility into performance.
    • Manage referral and milestone outreach by independently coordinating corporate gifting (THNKS program) for weddings, babies, delays, or condolences.
    • Oversee company swag inventory and assist with event planning.
    • Continuously look for ways to optimize current processes, shifting from manual tasks to scalable, smarter workflows.

Requirements/Skills:

  • Self-Directed & Autonomous: A proven track record of working independently. You thrive without a rigid to-do list; you see an operational gap, figure out a solution, and execute.
  • The “Puzzle Solver” Mindset: Exceptional ability to synthesize fragmented information (schedules, system data, logistics) and organize it into a clear, logical, and executable plan.
  • Urgency & Prioritization: Naturally operates with a fast pace and a strong bias for action. Ability to rapidly prioritize a high volume of shifting requests in a dynamic environment.
  • Technical Savvy & Execution: High proficiency with document formatting, spreadsheet management, and a quick aptitude for mastering internal databases (Tracker/ATS, VMS platforms).
  • Growth Orientation: Highly motivated by professional development, with a strong desire to take on more operational responsibility as the company scales.

Compensation: $26 – $31 per hour + Bonus
