Firstleaf is looking for an Executive Assistant to report directly to our Chief Executive Officer. In this role you will provide a high level of executive support to the CEO and supplemental support to three additional executives. You’ll also manage executive calendar management, facilitate communication both internally and externally through PowerPoint or Google Slides, coordinate travel, assist with special projects and assist with People functions.

A few examples will illustrate some of your challenges

  • Serve as the gatekeeper to CEO’s calendar
  • Coordinate and book all travel plans and visa requests
  • Ensure that meeting attendees provide CEO with all information needed for meeting or interviews
  • Collect and compile weekly updates from supported teams to post in company slack channel
  • Produce Excel/Google Sheets reporting, PowerPoint/Google Slides and decks
  •  Liaise with the executive’s direct reports with regards to scheduling meetings, handling logistics, sending materials for review and distributing. Provide limited support for Executive’s teams as requested
  • Undertake any ad hoc projects

Requirements:

  • Pacific Time Zone residency
  • Demonstrable experience in a similar role at a senior level
  • Extensive experience of working with Microsoft packages including: Word, Excel, PowerPoint and Outlook, as well as Google Docs, Slides, and Sheets.
  • Excellent organizational skills and high attention to detail
  • Excellent communication skills – both written and verbal
  • Must be a team player, willing to help and be flexible
  • The ability to work in fast paced environment
  • Ability to remain confidential with sensitive information
  • High level planning, prioritization, and organizational skills
  • Experience working with Finance and Marketing teams preferred
